About This Template

A catch-up plan listing missed work by subject, deadlines and support sessions, agreed with the pupil and parents after an absence.

Everything runs in your browser — your school details are sent only when you choose Send. Export the finished document as an A4 or Letter PDF.

Topics this template covers: recovery plan · return to school · catch-up work · extended absence

How to Use This Template

Fill Absence Start Date, Reason for Absence and Return to School Date, then ask subject teachers for their input on Missed Work Summary by Subject so the list is complete, not what one adult remembers.

Agree Adjusted Deadlines that are ambitious but achievable, and set Check-In Schedule — a weekly five-minute form-tutor catch-up works well. Name Form Tutor and Head of Year, review with the family in the first week back, and mark tasks complete as they are submitted so the plan visibly shrinks.

When to Use This Template

First unexplained absence

Send the initial follow-up the day after an absence is recorded, asking for a reason and setting a reply deadline while the details are still fresh.

Patterns of repeated absence

When absences repeat, escalate with the same template: include the attendance percentage against the policy threshold and the support being offered.

Logging calls and meetings

Record every contact attempt — phone calls, letters and meetings — with dates and outcomes so the attendance file shows a complete, dated trail if the case escalates.

Frequently Asked Questions

How do I customise this template for my school?

Can I use this template for multiple students or classes?
Yes. Fill in the template once for each student or class, then download the PDF each time. You can keep the browser tab open and simply change the fields for different recipients.
Is my school data stored on your servers?
Template processing happens entirely in your browser — the filled content is never sent to our servers. When you download the PDF or send the template, your school details (name, country, and email or WhatsApp) are stored in our recovery store as described in our Privacy Policy. They are never shared or used for advertising.
What should the first absence letter say?
State the dates of absence, the school's attendance expectation, and a clear deadline for the family to respond with a reason. Offer a phone call or meeting, keep the tone supportive, and reference the attendance policy so the message matches other school correspondence.
