About This Template
Each row records the date of the change, what moved, why and who approved it — an audit trail for governors, inspectors and parents who ask why dates shifted.
Everything runs in your browser — your school details are sent only when you choose Send. Export the finished document as an A4 or Letter PDF.
Topics this template covers: calendar change log · audit trail · calendar management · change tracking
How to Use This Template
Log an entry the moment a date moves: Date of Change, Change Description, Original Value and New Value, then record who made it under Changed By and who approved it under Approved By. Communication Method and Communication Date capture how parents were told, which is the part inspectors and governors always ask about.
Update Version History whenever the master calendar is reissued, and keep the log running all year — a completed Change Log turns 'why did this move?' from an argument into a five-second answer. Review it with the office team each half-term.
When to Use This Template
Publishing term dates for the year
Set the term start and end dates once, list the holidays and in-service days, and circulate the calendar to parents before the year begins.
Mid-year schedule changes
When a closure or extra event is announced, update the affected month and reissue the calendar so families are working from the same dates.
Publishing to every channel
Export the finished calendar as a PDF and attach it to your website, newsletter and parent app so every channel shows the same term dates and in-service days.
