About This Template

A short reminder after a meeting restating agreed actions and owners, sent while commitments are still top of mind.

Everything runs in your browser — your school details are sent only when you choose Send. Export the finished document as an A4 or Letter PDF.

Topics this template covers: follow-up · meeting reminder · thank you · post-meeting

How to Use This Template

Send within two working days of the meeting while commitments are still fresh. Fill Meeting Date and Teacher Name, summarise Summary of Discussion in two or three sentences the parent would agree with, then list Next Steps with owners and dates.

Set Next Review Date so the conversation has a defined return point, and complete Closing Message with how to reach you. Keep the tone collegial — this letter is what turns a one-off parents' evening conversation into an ongoing partnership with Parent Name about Student Name.

A useful discipline: before sending, read the summary aloud and ask whether the parent would recognise every sentence as accurate. Attach the mid-term report page or work sample discussed so the follow-up is self-contained, and record the send in your parent communication log beside the original appointment confirmation.

Finally, set Next Review Date to a concrete diary slot — four weeks is typical — and paste that date into your own calendar the same day. Correspondence that promises a follow-up without owning a calendar entry is how agreed actions quietly disappear between terms.

When to Use This Template

Scheduling a parent-teacher evening

Send the agenda, slot duration and booking details to parents ahead of time so they can prepare questions and know how long they have.

Cancelling or rescheduling

Issue the same document with the revised date and time, plus the reason for the change, to everyone who had the original invite.

Sharing the minutes afterwards

Turn the agenda and discussion points into minutes within two days, add owners and deadlines for each action, and send the same document back to everyone who attended.

Frequently Asked Questions

How do I customise this template for my school?
Fill in each field with your school's specific information. The template has pre-defined sections that you can complete in any order. Your changes appear in the live preview on the right side of the screen.
Can I use this template for multiple students or classes?
Yes. Fill in the template once for each student or class, then download the PDF each time. You can keep the browser tab open and simply change the fields for different recipients.
Is my school data stored on your servers?
Template processing happens entirely in your browser — the filled content is never sent to our servers. When you download the PDF or send the template, your school details (name, country, and email or WhatsApp) are stored in our recovery store as described in our Privacy Policy. They are never shared or used for advertising.
How long should each parent meeting slot be?
Ten to fifteen minutes is typical for parent-teacher evenings, with five-minute buffers between slots. Longer reviews or staff meetings usually need thirty to sixty minutes. Publish the slot length in the invitation so families know how to plan their questions.
